Shipping Process
1: Register as a Member
Register in the Shipping System
and get your Potatoship ID
2: Warehouse Drop-Off
Recipient Name/Address
Include your Potatoship ID.
Then deliver the parcel to the Potatoship warehouse.
(If possible, please also write your Potatoship ID on the parcel.)
3: Parcel Arrives at Warehouse
After the parcel arrives at the warehouse, you will receive a notification via email or WhatsApp
4: Fill in Details / Consolidation
Once all parcels have arrived at the warehouse, go to the system and select <Arrived Parcels> to:

Fill in the parcel contents

Choose the shipping method

Enter the overseas delivery address

Purchase shipping insurance
5: Order Payment
After the parcels are packed, you will receive a payment notification.
The system provides both online and offline payment options.

How to Drop Off Your Parcel

Download Post Office delivery labels in the shipping system.

Each parcel requires a separate delivery label (labels include your Potatoship ID).

Labels cannot be reused.
-
Parcels will arrive at the Potatoship consolidation warehouse on the second working day after drop-off.

After arrival at the warehouse, you will receive a WhatsApp or email notification.
-
Parcels dropped off at the post office do not require <Parcel Registration>.
-
Parcels can be dropped off at any post office in Hong Kong, and the service is completely free.

Pickup Service
-
Minimum 1-day advance booking (please schedule via the system).
-
Customers must write their Potatoship ID on the box (no need to include the overseas address).
-
Pickup service is available Monday to Saturday; no payment required at collection.
-
Specific pickup time cannot be requested (only morning or afternoon can be selected).
-
Successful bookings will be notified via email/WhatsApp (notification sent 24 hours before pickup).
-
Pickup parcels do not require <Parcel Registration>.

Total weight < 10 kg: HKD 100

Total weight 10.1–40 kg: HKD 150

Consolidation Guidelines
-
Consolidation service has no additional fees.
-
You can consolidate parcels from more than one online store.
-
Potatoship will remove original outer packaging and repackage items into a single box.
-
Potatoship can pay the local cash-on-delivery shipping fee on your behalf (actual shipping cost applies).
-
Your Potatoship ID is used to identify the owner of each parcel.
-
When shopping online, customers must add their Potatoship ID to the name and address fields.
-
Consolidated parcels will not be checked for contents, including product quality or quantity.
-
Parcels shipped to Mainland China or Japan warehouses cannot be consolidated with parcels in the Hong Kong warehouse.
-
Each parcel can only use one shipping channel to the same address; warehouses cannot split or divide a single parcel for different shipments.
-
After 60 days of free storage, a fee of HKD 10 per box per day applies.

What Can Be Shipped?
Different shipping channels accept different types of items. Please choose carefully



Shipping from Japan
to Overseas

The operation process is the same as Hong Kong consolidation.

Use the same Potatoship ID (you must add your Potatoship ID after the name and address fields).
-
Consolidation will remove the original outer packaging and repackage the items.

The consolidation team will not check the contents of Japanese parcels, including product quality and quantity.
-
Shipping fees include destination customs duties and VAT (sales tax).
-
After clearance at the destination, a final tracking number will be provided.

Get Your Potatoship ID
Please register in the <Consolidation System>:

Enter your email / WhatsApp to register.
-
Click Get Verification Code (check your email / WhatsApp for the code).
-
Enter the verification code.
-
Provide your email / WhatsApp as backup contact.
-
Set your password.

How to Identify My Parcel
-
Your personal Potatoship ID is used to identify the owner of each parcel.
-
When shopping online or dropping off parcels, customers must add their Potatoship ID after the name and address fields.
-
Since consolidation warehouse addresses may be updated from time to time, please check the website for the latest address.
-
Delivery Address: Potatoship Warehouse Address (Potatoship ID)

Contact Number: Potatoship Phone Number (for delivery driver coordination)

Name: Mandy (Potatoship ID)
-
Mandy is the Potatoship staff member responsible for receiving parcels.

How to Use
<Parcel Consolidation>

Log In to the System

Select <Edit> and fill in the parcel contents

Check the parcels that need consolidation

Arrange for packing/shipping

If a parcel contains multiple products, enter all items in <Product Name> on a single line.
Even if you have only one parcel (no consolidation needed), you will operate here as well.

Do I Need to
<Register My Parcel>?
-
As long as the parcel clearly shows your Potatoship ID, registration is not required.
-
Parcels delivered by yourself, via pickup service, or at the post office do not require registration.
-
All self-registered parcels must include the correct courier tracking number.
-
Do not use your order number for registration.
-
Even if a customer has never registered a parcel, as long as the parcel clearly shows their personal Potatoship ID, the warehouse check-in process can still be completed successfully.

After making an offline payment, please upload the transfer screenshot in the system.
Offline payments require customer service approval, which may take longer. We recommend using online payment.

Note: Adding funds to <My Balance> does not mean your order is paid. You still need to pay for your order separately.

Tracking Number

Click <Shipped Orders>

The Tracking Number will be displayed in the order details within 48 hours after payment.

Customers will also receive a notification via email or WhatsApp.

⚠️ The final tracking number can only be tracked successfully after the parcel has cleared customs in the destination country. ⚠️


Size / Weight / Carton Limits
-
Potatoship does not provide cartons.
-
Please use clean cartons without old labels.
-
If needed, it is recommended to purchase cartons at the post office or via SF Express.
-
For actual weight, it is recommended that each box does not exceed 20 kg (overweight parcels may have customs clearance difficulties).
-
Different shipping channels have different size and weight limits. Dimensional or overweight surcharges may apply. Please refer to the system for detailed information.

Volumetric Weight
-
PotatoShip charges based on volumetric weight.
-
Parcels with a large volume, even if light, occupy significant cargo space and therefore generate volumetric weight.
-
If volumetric weight > actual weight, shipping fees are calculated based on volumetric weight.
-
Volumetric weight and actual weight are compared, and the higher value is used to calculate shipping; charges are not cumulative.
-
Volumetric Weight Formula:
-
Length × Width × Height (cm)÷5000=kg
-
Example: 30 × 40 × 20 ÷ 5000 = 4.8 kg
-

Duties & Taxes
-
Potatoship handles customs declaration based on the information provided by the customer; there is no need for the customer to declare separately.
-
If you choose the <Tax-Included Shipping Line>, the shipping fee already covers customs duties.
-
If you choose <Express> or other shipping options, your parcel may be subject to taxes (UK ToR1 accepted).
-
All parcels, regardless of content, must go through import procedures and the customs authority of the destination country will determine, according to law, whether taxes apply and the amount payable.
-
The destination country may request proof of declaration from the recipient. Customers must declare truthfully and prepare supporting documents, such as product receipts.

Compensation



Summary of Shipping Terms

Fragile items are not covered.

Do not ship extremely high-value items.

For high-value items, customers should purchase additional insurance.

If the tracking information shows "Delivered" or equivalent, Potatoship will not provide any compensation (including shipping fees), even if the recipient claims non-receipt.
